For example, you can create a workflow that sends the appropriate acknowledgment email template to all new donations on a weekly basis. In the screenshot above, we’ve created a schedule-triggered flow that sends varying acknowledgment emails on a weekly basis based on the amount of the gift, and then updates the acknowledgment status and date so your team can rest assured that the task has been completed.     • Schedule Acknowledgment Tasks: Salesforce also enables you to schedule tasks and reminders.     • Generate Acknowledgment Letters: If your organization sends physical acknowledgment letters, Salesforce can generate these letters automatically based on the donor's information and the gift details stored in the system. While this feature will likely require additional investment, it could potentially save your team hours of manual tasks each month.

    • Formal/Informal Greetings: In NPSP settings, your team can adjust the format used to automatically generate formal and informal greetings for your supporters. Every new contact will have greetings created for them based on these formats, which can then be used in your acknowledgment emails templates. Be sure to review these settings so that they align with how your organization wishes to address its stakeholders.
    • Preferred Email: There are 5 email fields that your team should be aware of in NPSP. When sending emails, we recommend using the standard Email field on the Contact object as it should be populated with the contact’s preferred email address.
    • Preferred Email - A picklist indicating which of the below email types is the constituent’s preferred email address.
    • Personal Email
    • Work Email
    • Alternate Email
    • Email - The standard email field in Salesforce that has background automation to overwrite with the email of the preferred email type. For example, if a contact only has a work email address, then the standard Email field will be populated with their work email address. Later, you receive their personal email address and are informed that it is their preferred email. When you update the Preferred Email field to Personal, the standard Email field will be overwritten with their personal email address, but their Work Email field will still contain their work email address.
    • Centralized Donor Database: Salesforce provides a centralized repository for donor information. Ensure that all donor data is consistently and accurately recorded in Salesforce, from contact details to donation history. This centralization makes it easy to access donor information when sending acknowledgments.
    • Data Validation Rules: Set up data validation rules in Salesforce to enforce data quality. These rules can prevent common errors, such as duplicate records or incomplete donor profiles, ensuring that your acknowledgments are sent to the right recipients.
    • Regular Data Clean-Up: Periodically review and clean up your donor database. Identify and merge duplicate records, update outdated information, and ensure that all gift transactions are accurately recorded.
